What this policy covers

This policy explains how Digital Futures Consultancy collects and uses information submitted through its main-site “Book a Strategy Call” form, its Odoo “Discuss your Odoo project” form, and its Academy programme enquiry forms. It is intended for enquiries and is not a substitute for advice about your specific regulatory obligations.

Information we collect

Depending on the form, we collect your name, company name where provided, contact number where requested, email address, country of residence for Academy enquiries, the course or Odoo options you select, and the information you choose to provide about your programme interest, project, or business problem. The service may also record the public IP address observed by the server to protect the forms from automated abuse and maintain service records. We do not use the IP address as an identity or security proof.

Why we use it

We use the information to respond to your enquiry, assess and explain Academy programme options, understand the services or operating problem you are considering, protect the forms from automated abuse, maintain service records, and improve our follow-up process. We do not sell enquiry data.

Service providers

Enquiry records are stored in a restricted Google Workspace spreadsheet and notifications are sent to Digital Futures through email. The forms use a self-hosted ALTCHA proof-of-work check for automated-abuse protection; the challenge and verification are operated by Digital Futures and are not sent to a third-party CAPTCHA provider. Approximate GeoIP enrichment is enabled for valid submissions: where the server observes a public IP address, it sends that IP over HTTPS to ipwho.is and stores an approximate city, region, and country in the enquiry record. Private or local addresses are not sent to the provider. Google Workspace, email delivery, and ipwho.is may process information outside Singapore under their own terms and privacy policies. We review provider access and retain only the information needed for the stated purposes.

Retention and access

We retain enquiry records for up to 12 months after the last meaningful interaction, unless a longer period is required by law or needed to manage an active client relationship. We retain security and access logs for up to 30 days for abuse detection, service reliability, and incident response. Request paths are logged without query strings so form values are not needlessly copied into access logs. A narrowly scoped incident investigation or legal hold may require a longer period. We then delete or anonymise the records from the spreadsheet, mailbox, logs, and related operational systems. Access is limited to authorised Digital Futures personnel who need it to handle enquiries and operate the service.

Your choices and rights

You may ask us to provide, correct, or delete information associated with your enquiry, or withdraw consent for future contact, subject to applicable law and legitimate record-keeping requirements. To make a request or ask a privacy question, email steve@digitalfutures.asia.

Security

We use HTTPS, server-side validation, abuse controls, restricted access, and operational retention controls to protect enquiry information. No online service can guarantee absolute security; please do not include passwords, payment details, or other sensitive information in the enquiry form.
